The European Technical Caramel Association (EUTECA) is a de facto association under Belgian law, located at Avenue de Tervueren 13A, 1040 Brussels, Belgium.

EUTECA is committed to handle personal data in compliance with applicable data protection laws, including EU Regulation 2016/679 on General Data Protection Regulation (GDPR).

Personal data are collected by the European Technical Caramel Association (EUTECA) from several sources. When gathering the data, the individuals are made aware on how their data are processed (purpose limitation, data minimisation, confidentiality, storage limitation) according to the following description:

The purpose(s) of processing your personal data

We use your personal data for the following purposes:


  • To inform you on EUTECA key activities including but not limited to introducing new EUTECA members;
  • To send you relevant regulatory updates and development;
  • To announce upcoming events, such as conferences, webinars, trainings, etc.;
  • For the management of internal and external meetings and teleconferences, including the management of: lists and mailing lists for contacts, invitations, participants, distribution of reports, follow-up actions, information and publication, photographs/pictures, presentations, which are all related to the inherent activities of the associations;
  • For the management of security requirements of the European and international institutions for access to their buildings at the occasion of a specific meeting or event. For coordination purpose, the required data from each individual delegate who is part of the EUTECA delegation are gathered by the secretariat of EUTECA and forwarded to the European institutions where they are handled under the responsibility of the said institutions.


  • To allow exchanges with the individuals who have engaged with EUTECA, e.g. for a request for information about caramel colours or about membership conditions.
  • For the management of external meetings/events including management of the follow-up to the invitation, list of participants shared with the participants to the meeting/event (name and surname of the participant and company only), distribution of reports. Photographs/pictures may be taken, and presentations and report might be made available freely on EUTECA website.

The categories of personal data concerned

The amount of data we hold varies depending upon the data subject and the time and date at which it was acquired. At most, we process the following categories of your data:


  • First Name & Last Name;
  • Work address;
  • Home address (if supplied);
  • Work email address;
  • Private email address (if supplied);
  • Date of birth (if supplied);
  • Passport/ID number and validity;
  • Citizenship;
  • Job title;
  • Telephone number;
  • Mobile telephone number;
  • EUTECA events you have attended; and
  • Positions you may hold or previously have held within EUTECA such as President or Vice-President.

  • Work email address;
  • Job title;

  • Mobile telephone number; and
  • EUTECA events you have attended.

Your personal data was obtained via one or more of the followings:


  • You provided it directly to us when your company became a EUTECA member;
  • It was provided directly to us by a company colleague as a contact we could approach on particular matters relating to EUTECA’s activities; and
  • You attended or registered interest or took part in some other way in a EUTECA event, provided explicit consent to be contacted in the future by EUTECA.


  • You contacted EUTECA by email, phone or fax;
  • You contacted EUTECA via the contact form available on our website.

How long do we keep personal data?

EUTECA will only keep personal data for the time that is strictly necessary to achieve the purpose(s) for which they were collected. EUTECA does not transfer personal data to third parties without prior consent of the data holder.

Your rights and your personal data

Unless subject to an exemption under the GDPR; you have the following rights with respect to your personal data:

  • To request a copy of the personal data that we hold about you;
  • To request that we correct any personal data if it is found to be inaccurate or out of date;

  • To withdraw your consent to the processing at any time; giving EUTECA a reasonable amount of time to action that request. In cases where consent was not the sole lawful basis upon which EUTECA was processing your personal data; we may contact you to establish an alternative point of contact for your company or organisation; if reasonably required by EUTECA in order to fulfil its duties;
  • Where there is a dispute in relation to the accuracy or processing of your personal data; to request a restriction is placed on further processing; and
  • To object to the processing of personal data (i.e. where processing is based on legitimate interests).
